The Cornerstone portfolio was prioritized in recognition of resource constraints across Rutgers, the impact of too much change at once, and the realization of time needed to stabilize new systems. As a result, several projects have slowed or paused to allow focus on the following critical initiatives.
Scarlet Journey
The project team continues to work on system enhancements for academic year (AY) 2024-2025 to improve the enrollment application experience. Recently, the team configured the current application to align with Common App to simplify and streamline the new application process that is scheduled to launch this summer. Undergraduate transfer students from the School of Health Professions were integrated into the current application and process.
Common Application
The project team continues to make progress toward meeting the goal to launch Common App for AY 2024-2025 for first-year undergraduate students this summer. The team recently initiated user acceptance testing to ensure proper implementation of requirements and successful integration with the Constituent Relationship Management (CRM) platform. In addition, training sessions were conducted detailing various Common App reporting and system capabilities.
HR/Payroll Transformation
System business process reviews currently are underway with support from HR and Payroll. The team has completed its review of talent acquisition, workforce planning/administration, and benefits with payroll review in progress. Strong partnerships are key to the success of this initiative. A special thank you to the HR, Payroll, and Office of Information Technology (OIT) teams for their continued commitment.
Collaboration with Chancellor-led units and central administration offices to identify resources to support the functional business process reviews is scheduled to begin in early July. The team is developing a cross-project plan and timeline that illustrates dependencies between Cornerstone and other projects and associated resources. The plan will indicate areas where there may be challenges with resource availability and prioritizing to maintain project momentum.
The HR/Payroll Transformation team participated in an on-site planning session with the Chart of Accounts Phase 2 (CoA) project team to ensure alignment across both initiatives’ workflows and timelines. The CoA team distributed a request to stakeholders in every unit for validation of departmental reporting hierarchies collected earlier in the project from the units.
Student Experience Improvement Initiative
The project team continues to work with Enrollment Services and OIT to transition project tasks from the implementation partner to an operational state with Rutgers staff. AY 2023-2024 financial aid processing through Oracle Student Financial Planning is underway, working with the campuses to address and resolve any operational issues.
