Scarlet Journey

The universitywide implementation of Constituent Relationship Management (CRM) to drive engagement and manage relationships across the lifecycle for prospective students, alumni, donors, and athletic supporters launched for academic year (AY) 2021-2022 with enrollment management, including application intake, processing, and decisions.

Additional enhancements have been configured for the next cycle, AY 2024-2025, that will improve an applicant’s experience. Most recently, the project team completed three critical items:

  1. Post-admission checklist is updated with any outstanding requirements for the student to complete enrollment,
  2. Semester change will provide the student the option to change their application to reflect the term they wish to apply, and
  3. Implementation of a flow process to improve system performance.

 

CRM for Common Application

The project team is well on its way to meeting the summer 2023 goal to launch Common App for AY 2024-2025 for first-year undergraduate students. Recently, the team:

  • Finalized all requirements for the Common App to ensure it meets the university’s needs regardless of the program to which an applicant applies;
  • Completed system integration design, certifying that Common App can “talk” to our current CRM application system;
  • Planned user acceptance testing, allowing testing under different situations; and
  • Worked with Common App staff to train Rutgers staff about the system and perform routine tasks.

HR/Payroll Transformation

The first step of this initiative to create a more consistent employee experience across the university by redesigning human resources (HR) and payroll is understanding the current systems by performing business process reviews. Multiple modules related to HR and Payroll need to be outlined and defined as part of this initiative. To date, the team has completed the review of talent acquisition, while benefits and workforce planning/Administration are in progress.

Completing this substantial project will take a village and involve partners across the university. The project team will create a cross-project timeline that depicts dependencies between Cornerstone and other projects and associated resources. The plan will include blackout periods, system freeze dates, and operational busy times to support project teams and stakeholders with smooth and efficient HR/Payroll project implementation.

 

Student Experience Improvement Initiative

The SEII project team is working with Enrollment Services and the Office of Information Technology to transition project tasks from the implementation partner to an operational state. When the knowledge transfer is complete, Rutgers staff will assume responsibility for the new financial aid system, Oracle Student Financial Planning (OSFP). AY 2023-2024 financial aid processing through OSFP is underway.
